Remembrance Offering Documentation: How Qiyuan Provides Proof and Confirmation
Transparency is one of Qiyuan’s core commitments. Our remembrance offering documentation process is designed to help families understand what was arranged, when it was completed, and what form of confirmation they will receive.
Clear records for distant families
Remembrance offerings often happen far from where families live. Documentation helps bridge that distance.
Whether you are in California, London, Singapore, Toronto, or another city far from the venue, our goal is to make the process clear, respectful, and traceable.

Why We Provide Documentation
Many families who arrange remembrance offerings are located far from the place where the offering is fulfilled. You might be in one country while a cultural dedication is being arranged in another. Without documentation, that distance can create uncertainty.
Documentation is our way of giving you a clear record: what was arranged, when it was completed, and what proof or confirmation is available for that specific offering.
What Documentation May Include
Documentation varies by offering type, venue rules, and whether photography or receipts are available. The relevant service page will explain what kind of confirmation applies before you purchase.
Photo Documentation
For many offerings, we provide one or more photos showing the completed offering or related setting after fulfillment. Photos may be delivered by email as attachments or included in a PDF record.
Written Confirmation
A written confirmation summarizes the service details, including what was arranged, the fulfillment date, and the venue or service context when applicable.
Venue or Provider Receipt
When available, a receipt or confirmation from the venue or service provider may be included as third-party verification that the offering was arranged.
PDF Certificate
Some offerings may include a formatted PDF certificate summarizing the memorial details and the service performed, suitable for keeping as a personal record.
How the Documentation Process Works
We keep the process simple so families know what to expect.
- You place the request. You select the remembrance offering and provide the required memorial details.
- We confirm the details. If the offering depends on a specific date, festival period, or venue availability, we confirm the timing before proceeding.
- The offering is fulfilled. The remembrance offering is arranged according to the service description and applicable venue rules.
- Documentation is collected. Depending on the offering, this may include photos, written confirmation, a venue receipt, or a PDF certificate.
- You receive the record by email. Documentation is sent to the email address used for the order or provided during the memorial request process.
When Will I Receive It?
Documentation is typically delivered within 48 hours after the offering is fulfilled at the venue or service location.
If you selected a specific date, such as a festival, birthday, anniversary, Qingming, Ghost Month, or Winter Solstice, the 48-hour window begins after the scheduled fulfillment date.
During high-demand festival periods, exact fulfillment times may depend on venue capacity. If the selected date is not available, we will confirm the nearest available fulfillment slot by email before proceeding.
What If Photography Is Restricted?
Some temples, cultural venues, or service locations restrict photography during services. This is common in certain sacred or culturally sensitive settings.
When photography is restricted, we provide other forms of confirmation where available, such as written confirmation, a venue or provider receipt, or a PDF record.
If a specific offering cannot include photo documentation, this will be noted on the relevant service page before purchase so there are no surprises.
What About Free Memorial Pages?
Free memorial pages do not include service documentation because no physical or venue-based offering is performed. They are digital memorial spaces for preserving names, photos, stories, and messages.
Virtual offerings, such as virtual lamps or digital dedications, include digital confirmation rather than physical venue documentation.
- Free memorial page: no service documentation, because no paid offering is performed.
- Virtual offering: digital confirmation by email.
- Venue-based offering: documentation may include photos, written confirmation, receipts, or a PDF certificate depending on the service.
If You Do Not Receive Your Documentation
If you have not received documentation within 48 hours of the expected fulfillment date, please contact us. We will follow up with the service provider or venue and give you an update as quickly as possible.
If we cannot fulfill the service as described, we will offer a full refund for that offering.

Our Promise
Qiyuan is built for families who may be remembering loved ones across distance, time zones, and languages. We cannot remove the ache of being far away, but we can make the process of remembrance clearer and more accountable.
When an optional paid offering is arranged, you should receive a record of what was completed. When limitations apply, such as photography restrictions or venue availability, you should know that before the service proceeds.
