Documentation Policy
When you purchase a remembrance offering through Qiyuan, we provide documentation to confirm that the service has been completed. This page explains exactly what you'll receive, when, and how.

Why We Provide Documentation
Many families who arrange remembrance offerings are located far from the venue where the offering is fulfilled. You might be in California while a cultural dedication is being arranged in Southeast Asia.
Documentation bridges that distance — it gives you confidence that your request was completed as described. Transparency is one of Qiyuan's core commitments.
Types of Documentation
The type of documentation depends on the service and venue:
Photo Documentation
One or more photos taken at the venue showing the completed offering. This is the default for most services. Delivered via email as attachments or in a PDF.
Written Confirmation
A written note confirming the service details — what was done, when, and where. Provided for all offerings, either alongside photos or as a standalone.
Official Receipt
A receipt from the venue or service provider confirming the offering was made. Serves as third-party verification.
PDF Certificate
A formatted certificate summarizing the memorial details and service performed. Suitable for keeping as a personal record.
When Will I Receive Documentation?
Documentation is typically delivered within 48 hours after the service is fulfilled at the venue. If you selected a specific date (like a festival or anniversary), the 48-hour window starts after that date.
For festival periods with high demand, we'll confirm the nearest available fulfillment slot by email before proceeding.

What If Photography Is Not Allowed?
Some venues or locations restrict photography during services. This is common in certain temples and cultural sites. When this happens:
- We provide written confirmation describing the service completed
- We provide an official receipt from the venue when available
- The photography restriction is noted on the service description page before purchase
There are no surprises. If a service cannot include photo documentation, you'll know before checkout.
Free Memorial Pages
Free memorial pages do not include service documentation, because no offering is performed. When your free memorial page is reviewed and published, you'll receive an email with the page link.
Virtual offerings (such as virtual lamps and Health & Peace Lamps) include a digital confirmation email rather than physical documentation.
How Is Documentation Delivered?
Documentation is delivered to the email address you provided during checkout. You will receive one of the following:
- A direct email with photo attachments
- A PDF document with service details and photos
- A written confirmation note
- A donation receipt (for Cultural Support Donations)
All documentation is sent from support@qiyuanmemorial.com. Please check your spam folder if you haven't received documentation within the expected timeframe.
Didn't Receive Your Documentation?
If you haven't received documentation within 48 hours of the expected fulfillment date:
- Check your spam/junk folder for emails from support@qiyuanmemorial.com
- Contact us via our contact page or WhatsApp
- We will follow up with the service provider and get you an update as quickly as possible
If we cannot fulfill the service as described, we will offer a full refund. See our Refund Policy for details.
Data Retention
Documentation materials (photos, confirmations, receipts) are stored for 7–30 days for verification purposes. After this period, they can be deleted upon request.
- We do not share your documentation with third parties
- We do not use your photos or personal details for marketing without explicit consent
- You can request deletion of documentation at any time by contacting support
